Running a Workshop or Exhibition

Our studio can be used for your own workshops and exhibitions, or members may be involved in an Ilkley Arts-led event. Here you can find out about your responsibilities and how we can help.

Workshops

What the workshop provider must do

  • Book the studio, to book please email studio@ilkleyarts.org

  • Plan the workshop structure and timings.

  • Manage attendees and any ticket booking needed.

  • Promote your event. You can create your own graphics for social media and posters. If the event is an Ilkley Arts-led event, we have a poster template you can use.

  • Resource workshop, including buying all materials. For Ilkley Arts-led events, these materials can be claimed back, but you will need to agree on costs before purchase.

  • Bookings of any extras e.g. models for life drawing or portrait events

  • Set up the workshop, including putting out our tables and chairs in the format you require.

  • Clearing away the workshop, making sure the studio is left clean and secure, turning off the lights and heating.

  • Provide proof of insurance by completing this form (If it’s an Ilkley Arts event, insurance is covered through our own insurance)

  • Do a risk assessment of the event.

  • Ensure the building and its contents are secure and safe at all times.

What Ilkley Arts will do 

  • Promote the event through our website, and social media, including Its On In Bradford and Facebook Events. You can provide graphics for us to work with for your event.

  • Provide a template for publicity.

  • For Ilkley Arts-led events, we will manage attendees and bookings for you.

Exhibitions

What the exhibition provider must do

  • Book the studio, please email studio@ilkleyarts.org

  • Organise the exhibitors by inviting applications of interest, specifying what work can be exhibited, planning what work will be available to hang and documenting work as it is delivered. You can use a consignment form, which artists complete and provide before the event and when dropping off their work.

  • Promote your event. You can create your own graphics for social media and posters. If the event is an Ilkley Arts-led event, we have a poster template you can use.

  • Organising a rota of volunteers to help look after the event.

  • Curating and hanging of work, ensuring work is safely hung.

  • Providing any print browsers, if needed.

  • Handling all sales, using the iZettle and recording all sales in detail.

  • Clearing away the exhibition, making sure the studio is left clean and secure, turning off the lights and heating.

  • If this is an Ilkley Arts exhibition, you must provide a final sales spreadsheet that documents the values of payouts to be made and where payment should be made, less any commission.

  • Provide proof of insurance by completing this form (If it’s an Ilkley Arts event, insurance is covered through our own insurance)

  • Ensure the building and its contents are secure and safe at all times.

What Ilkley Arts will do 

  • Promote the event through our newsletter, website, and social media, including Its On In Bradford and Facebook Events. You can provide graphics for us to work with for your event.

  • Provide a template for publicity.

  • For Ilkley Arts-led events, we will make payouts to artists who have made sales where payment was processed through izettle.
